Submission of Summative (Final) Grades

The medical school is required by our accrediting body, the Liaison Committee on Medical Education (LCME), to have a policy and procedure to ensure that students receive final grades within a timely manner. The School of Medicine’s Policy and Procedure on Grading and Academic Status addresses this LCME expectation and outlines how we meet it.

Our policy specifically states - Final grades shall be electronically submitted within the student data management system within either thirty (30) days of the end of the course or 30 days after receipt of national standardized examination scores for courses in which such examinations are utilized, whichever is later. This means that faculty must complete their assessment of students in a timely manner since those assessments are a part of the final grade, and the course/clerkship director must calculate and submit the final grade in Workday on or before the 30-day mark. Faculty and designated staff within a department who manage these educational processes should design procedures and necessary safeguards to ensure students obtain their final grade by the designated day.

If a grade is unavailable because the student has not completed all requirements (such as due to a board failure or illness), an Incomplete should be entered into Workday. Doing so “stops the clock” on grade submissions.
